THE CHALLENGE
Difficulties of Documenting Architectural Projects
Common critical documentation challenges for firms and project owners:
Scattered & Fragmented Project Information
Information Silos: Important project information is spread out across unstructured PDF markups, long email chains, handwritten site notes, personal desktop folders, and spoken agreements at meetings. Decentralized Access: Teams spend hours hunting for latest design decision or explaining basic specs. Redundant effort and lost productivity across all disciplines.
File Bloat & Version Control Chaos
Obsolete References: Poor document indexing and inconsistent file naming means consultants, site superintendents or trade contractors are working off obsolete drawing sheets or superseded specification sets. Untracked Changes: Small changes made by one discipline, without proper issue registers, create cascade effects with other drawings that depend on this (MEP, structural framing, etc.) not reflecting recent architectural changes.
No Specifications and Scope Holes
Vague Material Calls: Missing technical requirements, missing hardware functions for doors and windows, or generic descriptions of material leave it to the contractors to guess intelligently on site, resulting in expensive change orders. Disconnected Schedules: Material and finish schedules that aren’t tied to drawing keynotes can lead to misunderstanding during procurement, and ultimately long lead-time reorders or non-compliant installations.
Review Bottlenecks & Slow Turnaround Cycles
Manual Markup: Backlogs converting redlines into updated CAD/BIM sheets and updated written registers often take a backseat to primary design tasks creating a backlog of unissued updates. Delayed Approvals: Incomplete or poorly organized submittal packages will delay the local authorities’ plan checks and lengthen review cycles for the clients and code consultants.
Miscommunication in Multi-Disciplinary Teams
Design Intent Disconnect: Engineering consultants and trade contractors have difficulty interpreting voluminous or poorly designed documents resulting in too many Requests for Information (RFIs). Meeting Disconnects: Action items, design modifications, client decisions are often not captured or recorded in meetings, leading to forgotten promises and accountability breakdowns months later.
Formatting Inconsistency & Office Norms
Lack of Standardization: Multi-person project teams that are not closely managed for template adherence can have sets with multiple graphic standards, sheet layouts, and language. Resource Drain: Senior designers and project managers waste valuable billable time fixing sheet layouts, formatting room data sheets or manually updating drawing indices instead of focusing on high-value design and client interactions.
Incomplete Closeout and Turnover Packages
Disorganized As-Built: At the end of the project, as-built drawings, field changes, operation manuals, and warranty information are all thrown together. Operational Friction: The facilities management team is stuck with a partial or unindexed archive which will make future maintenance, space planning and renovations more difficult and costly.

FAQ
Frequently Asked Questions (FAQ)
Can you work with the architectural patterns we currently use?
Yeah. We can use your exact layouts, title blocks, visual styles and formatting rules. If you don’t have templates in place, we can help you build them.
Do you do illustrations or only the text part?
We help with either. We offer non-design drawing set organization, title block setup, sheet drafting updates from markups and written deliverables such as schedules, specs and reports.
Can you work with redlines and markups and revise documentation?
Okay. Email us your hand marked PDFs, site notes and CAD markups and we’ll update your drawing registers, programs and document sets.
How do you deal with revisions?
We have very strict controls over our documents. Each update has a revision ID, issue date and explanation of changes to the master register so that nothing is accidentally overwritten.
Do you work on more than one project at a time?
Yeah. We have a multi-project workflow built into our process and we assign a dedicated document coordinator for each and every one of your active jobs to ensure consistency.
Which files do you want to begin with?
We usually need your project files (PDF, CAD, BIM, Word/Excel), office template standards and a summary of project timelines & deliverables.
NDAs? Confidentiality clauses?
Yeah. We respect your intellectual property and your client confidentiality. Unless the standard non-disclosure agreements are signed, we do not supply project files.
